Student Records Information

The Records Office personnel are here to help you whenever you need assistance. You will find some resources here that you need or you can stop by our office and we will be glad to help.

Online Information

You may be able to access the information you need via the PeopleSoft Student Self-Service portal. Just login using your student ID and password and browse through the information available to you there. If there are changes that need to be made in any of your online records, you may need to contact us and we can direct you as to the proper procedure or forms you will need.

Student Records Forms

• Academic Bankruptcy to remove poor academic work from a student's record. To qualify, the student must not have attended college for two years after the poor work and then upon returning complete 12 hours of college-level coursework with a 2.0 GPA.
• Certificate Application to apply for a completed certificate program.
• Change of Personal Data to update name, address, phone and/or major. If currently enrolled, turn in to the Records office.
• Course Repeat to allow a higher grade only to be calculated into the GPA when a student repeats a course.
• Degree Audit Request to request an academic audit of a student’s records to determine classes needed for graduation.
• Duplicate Degree/Diploma Request to order a replacement diploma.
• Enrollment Verification available from National Student Clearinghouse. In some situations, students may provide a form to the Records Office for completion.
• Graduation Application to apply for graduation in a specific term.
• Student Letter of Recommendation to request a letter of recommendation from an ECTC employee.
• Student Release of Information provides permission for other's to access student's academic record.
• Transcript Request to request an ECTC transcript. For faster service, use the National Student Clearinghouse.
• Visiting/Transient Student for ECTC students to request visiting/transient status with a non-KCTCS institution.
