Return of Unearned Tuition Assistance
In accordance with regulations issued by the Department of Defense, Return of Unearned Tuition Assistance is a calculation ECTC is required to perform to determine eligibility when a service member officially or unofficially withdraws from a course. When a student withdraws, the student may no longer be eligible for the full amount of TA funds originally awarded.
- An official withdrawal is when a student drops a course through their respective military portal, or through the ECTC Student Self-Service. The date the student “officially” withdraws from a course is considered the last date of attendance for return of tuition assistance.
- An unofficial withdrawal is when a student never attends or stops attending or participating in a course without prior approval. Last date of attendance is determined by the last date of activity within a course.
If a service member officially or unofficially withdraws from a course and did not complete at least 60 percent of the course, the total Tuition Assistance amount awarded will be reduced. ECTC will return any unearned TA funds on a proportional basis through the 60% portion of the period for which the funds were provided using the calendars below.
When TA is returned, the service member will be responsible for payment to the college. Charges are assessed to the student’s college account. Please consult the KCTCS catalog for consequences of financial delinquency obligations. If the withdrawal occurred because of official military duty, service members should contact ECTCMVS@kctcs.edu and work with their military branch Education Counselor.

Other examples of what a service member may owe ECTC for class withdrawals
Instances in which you may owe the college include, but are not limited to:
- Not completing 60% of the class(es)
- Unpaid book fees
- Lack of TA funding (not having enough TA to cover the cost of classes)
- Enrolled in an unapproved class
- Return of Federal Financial Aid

What if the service member was TDY or deployed and could not complete the class work?
In the event of TDY or deployment, the service member must provide a copy of the official orders to ECTCMVS@kctcs.edu for assistance. We will work with you to identify a solution that does not negatively affect your student account at ECTC.
