The Records Office is here to support you throughout your time at ECTC. We can help you with getting transcripts, applying for your degree or diploma, enrollment verifications, and maintaining your official academic records. If you have questions or need assistance, our team is happy to help!
Online Information
You may be able to access the information you need via Student Self-Service. Just log in using your student ID and password and browse through the information available to you there. If there are changes that need to be made in any of your online records, you may need to contact us and we can direct you as to the proper procedure or forms you will need.
Student Records Forms
A student who has been readmitted after having remained out of a KCTCS College for a period of two or more years (at least four 16-week semesters) and who has completed at least 12 credit hours in non-developmental and non-remedial courses with a grade point average of 2.0 or better after readmission, may choose to have his/her previous KCTCS course work removed from the computation of the grade point average. A student who has completed a credential and re-enrolls may not apply the academic bankruptcy rule to courses taken for the credential already completed. The academic bankruptcy option may be used only once.
A student who declares academic bankruptcy will continue to receive credit for those courses in which a grade of A, B, C, D, or P was earned prior to readmission without including those grades in the GPA computation. A student who has completed a credential and re-enrolls may not apply the academic bankruptcy rule to courses taken for the credential already completed. A student may only use the academic bankruptcy option once.
If you have read the Academic Bankruptcy guidelines above and believe you are eligible, please request a copy of the Academic Bankruptcy Request Form and return it to the Records Office. If you are planning to transfer to another school after ECTC, it is important to know that your future school may not honor our Academic Bankruptcy.
Certificates are awarded as they are earned, however, if you need to opt out of this process, please contact our office and we will be glad to assist you.
If you need a printed copy of a certificate that was earned prior to the Spring 2016 semester, please request a copy of the Printed Certificate Request Form and return it to our office.
To determine classes needed for graduation, complete the online Degree Audit Request Form.
- Login to Student Self-Service.
- Click the Advising & Classes tile.
- Click the "Withdraw/Drop Request" option on the left sidebar.
If you are in high school, drop and withdraw requests are made through your Dual Enroll account.
Complete the Duplicate Credential Request Form to order a replacement degree, diploma, or certificate.
Note: Credential orders are only placed three times per year, and it takes several weeks for us to have them in the office and ready for distribution.
Complete the Application for Degree or Diploma to apply for a degree or diploma.
Application Deadlines:
- Spring 2026: Deadline passed
- Summer 2026: July 1, 2026
- Fall 2026: September 15, 2026
If you are using VA education benefits, please check with the Military and Veteran Services Center to ensure that graduating will not negatively impact your benefits.
Find more information on ECTC's Graduation ceremonies here. Further information is sent to those that submit an Application for Degree or Diploma by the appropriate deadline, and mark that they want to attend the graduation ceremony.
To request that your name be changed, complete the Name Change Request Form.
Unofficial transcripts can be viewed in your Student Self-Service in the Transcript & Academic History tile. It is best to use Firefox or Chrome. If you are not a current student and would like an unofficial copy, please email a picture of your driver's license to ectcrecordsoffice@kctcs.edu. If you were enrolled under any other names, please be sure to include that information in your email.
Official KCTCS transcript requests must be made through the National Student Clearinghouse. Transcripts should be sent directly to the recipient as they may not be considered official if they are sent to anyone else first.
